- Action: Archive after 5 years; delete after 7 years.
- Rationale: Ensures compliance with GDPR and other data protection laws (such as the California Consumer Privacy Act).
- Shipping & Billing Address Information
- Retention Period: 5 years after the last order.
- Action: Archive after 5 years; delete after 7 years.
- Rationale: Important for warranty or product returns and tax purposes.
2. Order History
- Order Details (Product, Date, Amount, etc.)
- Retention Period: 7 years.
- Action: Archive after 7 years.
- Rationale: Required for tax reporting and legal purposes.
- Transaction Records
- Retention Period: 7 years.
- Action: Archive after 7 years; delete after 10 years.
- Rationale: Financial auditing, tax reporting, and regulatory requirements.
3. User Activity Data (e.g., Browsing, Clickstream Data, and Preferences)
- User Behavior/Activity Logs
- Retention Period: 1 year after the last interaction.
- Action: Archive after 1 year; delete after 2 years.
- Rationale: Allows businesses to analyze customer trends without holding data indefinitely.
4. Cart Data
- Abandoned Cart Data (including products, amount, time)
- Retention Period: 30 days from the last cart interaction.
- Action: Delete after 30 days.
- Rationale: Useful for retargeting, but no longer relevant once the period expires.
5. Marketing Data (e.g., Email Campaigns, Customer Segments)
- Email Marketing Lists & Campaign Responses
- Retention Period: 2 years after the last campaign or customer interaction.
- Action: Archive or delete after 2 years.
- Rationale: To keep marketing data fresh and relevant. If a customer opts out or hasn’t interacted for over 2 years, they should be removed from the list.
6. Product Information and Reviews
- Product Listings (Images, Descriptions, Specifications)
- Retention Period: Indefinite, unless the product is discontinued.
- Action: Archive/discard obsolete products after 3 years of no sales.
- Rationale: Product data can be useful for historical sales or marketing materials.
- Customer Reviews and Ratings
- Retention Period: Indefinite.
- Action: Retain unless the product is removed from sale.
- Rationale: Retain for authenticity and to maintain trust in product feedback.
7. Payment Information
- Credit Card or Payment Method Details (if stored)
- Retention Period: As long as the customer is active, or 6 months after the last transaction.
- Action: Delete after 6 months from the last transaction.
- Rationale: Compliance with PCI DSS and minimizing unnecessary storage of sensitive data.
8. Compliance and Legal Data
- Audit Logs (Admin activities, security-related events, etc.)
- Retention Period: 3 years.
- Action: Archive after 3 years; delete after 5 years.
- Rationale: Compliance with security regulations (e.g., GDPR, SOC 2).
9. Refund and Return Data
- Refund Requests and Returns Data
- Retention Period: 3 years.
- Action: Archive after 3 years; delete after 5 years.
- Rationale: Legal requirements for refunds and consumer protection.
10. User-Generated Content (e.g., Comments, Forum Posts)
- Customer Reviews/Comments on Products
- Retention Period: Indefinite, unless the content violates terms of service.
- Action: Retain unless flagged for deletion.
- Rationale: Helpful for building trust with new customers.
General Guidelines:
- Data Archiving: Archiving means moving the data to a less accessible storage for long-term retention but ensuring it can be retrieved if needed. Archived data should be encrypted and protected.
- Data Deletion: Deletion should involve ensuring that data is irrecoverable and complies with relevant data protection laws.
- Compliance: Ensure that the retention schedule complies with GDPR, CCPA, PCI DSS, or any other applicable laws. If required by law, allow users to request the deletion of their data.
- Customer Consent: Ensure that consent is gathered when necessary, especially for marketing purposes.
